Within a Guided Pathways framework, the Student Success Coach provides advising, coaching, guidance, and support for a caseload to ensure students have the best opportunity to achieve their educational goals. By providing expertise within designated pathway(s), the Student Success Coach assists students in successfully navigating Olympic College from admission through completion by creating an individualized academic plan that is tailored to the student's unique goals and needs; coaching the student on developing the strategies, skills, and self-efficacy that leads to achieving the plan; monitoring student's progress on their plan; providing proactive outreach to students who deviate from their plan; connecting the student with resources that promote student success; and facilitating a seamless transition to a program faculty advisor for educational and career mentoring. Coaches collaborate closely with divisional faculty and staff in their pathway to ensure that students receive accurate information and to support the division with wrap-around support of students and administrative questions. Coaches have the primary responsibility on campus for outreach and intervention with students not meeting Academic Standards Progress and for students identified at risk by faculty through Student Alert. The Student Success Coach provides training to Student Affairs staff, faculty, and other departments on advising best practices, administrative policies, and advising tools, such as degree planning worksheets and ctcLink Advisor Center.

Essential Functions


Coaching and Advising
  • Serve as first advising contact for all new students. Maintain ongoing, proactive relationship with continuing students from admission to completion.
  • Meet with students in scheduled advising appointments and during designated drop-in hours, either in-person, Zoom, or on the phone.
  • Communicate with student caseload systematically, frequently, and intentionally through multiple methods, including face-to-face meetings, e-mail, phone, and text.
  • Employ case management strategies that include detailed documentation of student contact in the student management system. Maintain confidential student records and adhere to FERPA guidelines.
  • Provide information about Olympic College educational and career pathways; help students determine if OC programs meet their educational and career goals.
  • In collaboration with student, develop an academic completion plan that incorporates a transfer or employment strategy and referral to faculty advisors for specific academic/career guidance.
  • Facilitate enrollment and registration choices that incorporate understanding of course offerings and prerequisite requirements, degree and transfer requirements, and institutional/departmental policies.
  • Teach students to effectively use the tools and resources necessary for successful program/major clarification, degree or certificate completion, and college or university transfer.
  • Assess academic placement with prior learning (transcripts, test scores, etc)
  • Interpret English and Math placement results to advise students on the proper course selection/sequence.
  • Conduct unofficial transfer credit evaluations for enrollment purposes, program graduation, prerequisite clearance, and course selection; ensure students understand the implication regarding their pathway.
  • Evaluate "Non-SEM Placement Requests" for placement into non-science, engineering, or math courses; providing course permissions for registration where prerequisites have been met.
  • Assess initial strengths and challenges in students' academic, career, and personal pathway by identifying factors that enhance or prevent academic progress. Examine alternatives based on changing goals, academic progress, personal situations.
  • Advise students about alternatives, limitations, and possible consequences of academic decisions (e.g., adding, dropping, and withdrawing from courses; change of program, major and/or transfer institutions).
  • Monitor student progress, often in collaboration with faculty advisors, to assess degree and graduation audit checklists, program-specific requirements for admission, transfer requirements to a 4-year institution; notify students of discrepancies that may need to be addressed.
  • Assist students in transfer planning, including exploration of transfer options and institution transfer requirements, and appropriate course selection to meet transfer requirements.
  • Consult with contacts at various transfer institutions regarding course and program transferability, admission, and graduation requirements.
  • Create and maintain program-specific transfer guides and transfer advising tools.
  • Review Financial Aid Petitions and approve when appropriate or refer to faculty advisors; develop academic plans as necessary to meet requirements of specific funding sources.
  • Perform registration duties including registering students in classes, term activating, and granting permission numbers.
  • Provide basic information about, and connect students with, financial aid and funding sources.
  • Develop and conduct presentations and workshops for outreach events and advising programming, including New Student Orientation, pathway information sessions, Enroll Now, visiting high school groups, and transfer planning workshops.
  • Assess student needs and apply student success strategies to serve students from special student populations, which include, but are not limited, to: active-duty military and veterans, students with disabilities, international students, BFET/Work First/Worker Retraining, and athletes.
  • Provide support and advocacy for students from diverse backgrounds, including Black, Indigenous, and People of Color (BIPOC), first generation, low-income, undocumented, and/or foster youth.
  • Maintain up-to-date knowledge about Olympic College's programs. Policies, and procedures.
  • Work closely with faculty advisors in assigned pathway to stay current on program and career information; to develop program-specific advising tools; to determine best practice for transitioning student to faculty advisor; and to serve as point person for faculty who have advising and administrative questions or concerns.
  • Consult with fellow staff and outside entities as needed to triage challenging student situations, explore solutions and alternatives, and recommend resolutions specific to student circumstances and needs.
  • Uphold and contribute toward the advising department's operations to include: departmental goal setting, implementation of methods to evaluate and assess program effectiveness, and modification to policies and procedures to enhance the overall efficiency of the advising center.
Retention Management
  • Conduct outreach and mandatory advising with students not meeting Academic Standards Progress (ASP); explore barriers and create action plans with students to maximize their chance for academic success.
  • Conduct outreach and advising with students identified at risk by faculty through Student Alert; refer students to appropriate resources to help with challenges facing the identified class.
  • Refer students as needed to campus and community resources for emergency funding, childcare services, mental health counseling, and assistance with basic needs.
  • Ensure student caseload is adhering to their prescribed pathway and graduation plan, particularly through continuous, on-time enrollment for each quarter. Monitor academic progress by analyzing degree audits, determining satisfactory progress toward degrees, identifying current and potential needs or problem areas, and helping student access college resources to attain increasing self-sufficiency in college transactions.
  • Assist the Director of Advising and Associate Dean of Retention in designing focused interventions, program implementation, and creating specialized reports.
  • Collaborate with all college personnel to identify creative solutions to enhance students' overall educational experience and to ensure seamless transition to faculty for academic mentoring through degree completion.
  • Promote student engagement through college life and campus involvement.
  • Conduct exit interviews with students who withdraw from the college to improve current retention plans and develop new plans to address emerging issues.
Decision Making and Policy Impact
  • Makes independent decisions on how to best serve and advise the unique needs of each student, including management of and outreach to their caseload. Responsible for creation and modification of student academic plans, suggestion of appropriate courses, and registration into those courses. Has the authority to review, and in some cases approve, Financial Aid Petitions for Extension. Works directly with instructional deans and faculty to establish preferred processes for advising students in each program.
  • Refer difficult advising situations and situations that could have a major negative impact on a student's enrollment. Refer to supervisor for final approvals on projects, creation, and maintenance of advising tools and presentation materials.
College Support
  • Develop and maintain advising materials, including degree planning worksheets and transfer planning guides.
  • Participate in on- and off-campus college outreach events, travel to local high schools for onsite advising events.
  • Provide training for faculty and staff members on academic advising strategies, ctcLink navigation, university transfer requirements, college resources and policies, and other issues related to the student lifecycle.
  • Represent the department on OC committees focused on student success (e.g.: Diversity Action Committee, Shared Governance councils, Wellness Advisory Committee, Guided Pathways, course scheduling, etc.).
  • Maintain open professional communication and relationships with faculty, colleagues, and administrators to demonstrate how advising is essential to student success and persistence.
  • Perform other duties as assigned.

Qualifications


Minimum Qualifications
  • Bachelor's degree, preferably in Education, Student Development, Counseling, Human Services, Psychology, or related field from a regionally accredited college or university.
  • Minimum of one year increasingly responsible experience working in an educational environment providing direct student services (e.g.: academic advising, career services, TRIO, Workforce Education).
Preferred Qualifications
  • Master's degree in education, Student Development, Social Work, Human Services, Psychology, or related field from a regionally accredited college or university.
  • Experience working in a community college setting.
  • Experience working with underrepresented populations and demonstrated commitment to enhancing equity and academic success of college students.
  • Knowledge and experience with student management systems, such as PeopleSoft ctcLink

Terms of Employment

This is a full-time exempt position scheduled to work Monday through Friday. The salary for this position is $67,725-$73,751 annually, which includes a generous benefits package: life, health, dental insurance, retirement, vacation & sick leave, and holiday pay.
