Position Description

The Office Manager position will handle a wide range of inner office management, administrative tasks, and support team members. This position also includes handling customer support, assistance to Controller, inter-office communication and assistance with CRM, office organization, event planning, and other various tasks as required of the position.

Essential Job Functions:

  • Desired Technology Skills; Intermediate computer skills, Microsoft 365, Word, Excel, Power Point, proficient with Cell phone technology, DropBox, Data Entry
  • Ability to learn CRM functionality, and Slack
  • Ability to communicate effectively between departments for common goals and respond in a timely manner to assignments or questions via e-mail or other forms of communication
  • Ability to prioritize open tasks based on the customer and company needs, follow up and management of tasks is essential
  • Excellent time management, organizational and planning skills
  • Ability to multitask, and use all available resources to search for solutions
  • Excellent written (company e-mail) and verbal communication skills, ability to communicate clear and meaningful information to uplinks, co-workers, vendors, and customers, through various platforms
  • Ability to work effectively as a team member and independently and show initiative to solve problems
  • Excellent organizational skills, event coordination
  • Assist in developing systems and tools for the Company to increase efficiency
  • Develop and continually maintain a professional and good working relationship with coworkers and clients
  • Compliance with Company Safety Policy and safe working habits, compliance with Drug Free Workplace Policy

Daily duties and tasks:

  • Spearhead a functional CRM system and support usage by all team members
  • Assistance to Controller for light accounting and data entry where required
  • Organization of office and company property
  • Coordinating events and activities; corporate events, company quarterly meetings
  • Assist in vendor quotes and follow up documentation
  • Contract management and filing, sending contracts via eSign software
  • Managing schedules, appointments and meetings for Ownership where required
  • Assist with HR tasks
  • Manage food and beverage inventory, office equipment and supplies
  • Special projects assigned by Ownership from time to time

Description of Work Environment:

These essential job functions will be completed from the Company main office. Company will provide employee with internet access and a computer within our main office. Outlook company calendar, e-mail provided and is expected to be up to date daily. Superior communication to Company management and staff at all times. The Company will train the employee in this position and will provide ongoing support.

Employee must dress in a business casual attire and engage coworkers, vendors, and clients in a professional manner at all times. The expectation is to be on time for work, use the company time tracking platform daily, and always communicate any issues concerning this in advance.
