Title: Attendance Clerk


Reports To: Attendance Supervisor


Employee Type: Full-Time, 10 months, Hourly, Non-exempt

Summary


Working under the direction of the Attendance Supervisor or Building Principal to collect and maintain student attendance information at the assigned site; meeting school, state, and federal requirements relating to attendance processes including parent notification; preparing and distributing attendance reports.

Job Responsibilities

  • Processes all late arrivals of students for assigned CCS building(s).
  • Maintains an awareness of late bus arrivals, helps to facilitate the Principal's decision to hold attendance or have affected students checked in.
  • Processes daily attendance of students not recorded electronically in homeroom.
  • Records all absences, tardy arrivals and early dismissals as excused or unexcused.
  • Records timely updates to student attendance records based upon receipt of valid documentation while being mindful of the truancy process and in accordance with CCS policy.
  • Provides a timely building attendance report listing students absent from and tardy to school.
  • Updates and redistributes building attendance reports throughout the day, as deemed necessary by the Principal.
  • Provides attendance data for planned, pre-approved absence requests.
  • Distributes "need-to-know" attendance related information to others (nurse, guidance counselor, etc.) accordingly.
  • Routinely interacts with the parents and students in situations that require tact, discretion, and courtesy.
  • Receives and resolves concerns and complaints, using knowledge of school attendance policies, procedures, rules, and requirements
  • Maintains open and timely communications with the Central Attendance Office to ensure appropriate handling of complicated, sensitive or truancy related incidents.
  • Maintains, distributes, and collects monthly paper attendance sheets to/from homerooms for substitute and emergency use.
  • Maintains a neat and organized work station.
  • Maintains highest level of confidentiality pertaining to school and student information, progress and records..
  • Shares a commitment to the success of the mission, goals, and objectives of CCS.
  • Promotes good citizenship through actions as a role model.
  • Conduct himself or herself according to professional, ethical principles that reflect favorably upon the individual and the school
  • Communicates in a professional and personable manner with the students, families, faculty and staff of CCS.
  • Assumes other responsibilities assigned by supervisor and/or school administrator
  • Abides by the CCS Employee Manual, CCS policies and procedures, and all current PA Public School expectations

Qualifications

  • High School Diploma required. Associate's degree or professional school certificate or diploma in office administration or a related field preferred
  • Experience and demonstrated competence with clerical tasks, preferably as an assistant for an administrator or executive
  • Ability to gather, collate, and/or classify data
  • Problem-solving skills to identify issues and select appropriate actions
  • Pleasant and professional phone manner
  • Excellent organizational skills and ability to work under time constraints;
  • Ability to communicate with diverse groups
  • Excellent verbal and written communication skills
  • Proficient in the use of Google applications
  • Required Clearances include Criminal Background Clearance (Act 34), Child Abuse Clearance (Act 151), and FBI Fingerprint Clearance (Act 114), all dated within one year of receipt
  • Meets criteria for employment in a PA Public School
